Licensed Real Estate Assistant

Our confidential client is currently seeking a detail-oriented and organized professional to provide

administrative support to real estate agents or brokers, manage office tasks, assist in the transaction process, communicate with clients, and help maintain marketing efforts.

Job responsibilities including but are not limited to: 

Generate leads through networking, print advertisement, and online marketing strategies.

• Manage creation and distribution of marketing materials for property listings.

• Maintain an organized filing system, ensuring easy retrieval of important documents. .

• Assist in scheduling property viewings and appointments with clients.

• Coordinate and attend open houses and property showings,

• Administrate contract negotiations.

• Maintain confidentiality while dealing with sensitive proprietary information in a discreet and

professional manner.

• Oversee all aspects of seller’s transactions. Prepare all listing materials pre-listing presentation.

• Answer routine inquiries from clients, agents, and brokers

• Processing new property listings and Agreement of Sales

• Social media- advertising new listings; posting phots, creating virtual video tours, producing

brochures, planning open house events, and scheduling property showings

• Entering all listings in BRIGHT MLS

• Maintain photos in BRIGHT and all websites. Ensure all photos, details and facts represent the

property well.

• Organize all new listings, including photo order, description, floor plan, virtual tour for graphic

designer 

• Organize and send Just sold and Just Listed Mailers to increase marketing exposure of property and

agent, plus increase listings in area.

• Prepare all mailing labels for marketing materials

• Develop prospect lists, perform MLS search for expired listings, public tax records.

• Perform comparable search (COMPS) for Buyers and Sellers

• Assist real estate agents in managing their daily schedule and appointments

• Handle phone calls and emails from clients and vendors

• Prepare and distribute marketing materials for properties

• Organize and maintain real estate files and documents

• Coordinate property showings and open houses

• Assist in drafting and reviewing real estate contracts and agreements

• Perform research on real estate market trends and property values

• Assist in managing social media accounts and online presence

• Provide excellent customer service to clients and vendors

• Perform other administrate tasks as needed

• Assist real estate agent with the coordination and preparation of successful open house

events

• Prepare, deliver, and pick up real estate documents

• Create, design, and distribute real estate brochures

• Handle advertising of the property online and through newspapers

• Take photos of property before and after repairs and to be used in the marketing process

• Put up and remove 'for sale' and 'solid' signs on the property

• Coordinate, oversee and inspect the completion of repairs on the property that is for sale

• Obtain information and public records about property for sale

Qualifications for Real Estate Assistant

• Strong literacy and numeracy skills to handle administrative tasks

• Knowledge of basic computer skills to track and monitor leads and feedback

• Working knowledge of social media for monitoring and advertising purposes

• Administrative, accounting and marketing experience preferred.

• Ability to handle multiple projects at the same time as well as prioritize and manage time

efficiently.

• Ability to communicate effectively with buyers, sellers, real estate agents and repair

persons both verbally and in writing.

• People-oriented, dedicated to customer service, extremely organized and attentive to

detail.

• Ability to work independently but also follow the instruction of lead real estate agent.


Work hours will vary. Canidates must be available/on call after hours and most weekends. Candidates must be very flexible.
