Business Operations Associate

We are seeking a highly organized and detail-oriented Business Operations Associate to join our client's dynamic financial planning firm. This role is crucial in supporting office operations, client service, and internal workflow processes. The ideal candidate is proactive, tech-savvy, and thrives in a fast-paced environment.
Key Responsibilities
Administrative Tasks:
- Set up and maintain Calendly for scheduling.
- Prepare and mail annual review letters and birthday cards monthly.
- Order and manage office supplies inventory.
- Upload and maintain online filing systems for documents.
- Track and file expenses and invoices accurately.
- Assist clients with account maintenance forms and track progress.
- Order client gifts as needed.
- Register and arrange conference travel for advisors and staff.
- Coordinate travel and reservations for advisors meeting with clients.
- Answer phone calls and assist with client inquiries.
- Contact service centers to resolve client questions.
- Support marketing and compliance initiatives.
- Send required disclosures to clients for appointments.
Implementation & Operations Tasks:
- Establish and maintain workflow processes for new business and service requests.
- Update and track current projects and deadlines.
- Communicate new tasks and priorities to advisors and team members.
- Track and monitor advisor and staff licensing and continuing education requirements.
- Work with HR partners to support employee onboarding and offboarding.
- Assist with running payroll and maintaining compliance with HR policies.
Qualifications:
- Proven experience in administrative coordination, office management, or operations.
- Strong organizational skills with the ability to multitask and prioritize.
- Excellent written and verbal communication skills.
- Proficiency in Microsoft Office Suite, scheduling tools (Calendly), and online filing systems.
- Ability to work independently and collaboratively in a team environment.
- Experience in financial services or a related field is a plus but not required.
