Executive Administrative Assistant

Are you an organized, detail-oriented professional with a passion for maintaining efficient office operations? Our confidential client is seeking a dedicated Executive Administrative Assistant to join their growing financial planning firm. This role is vital to ensure smooth day-to-day operations, supporting our team, and delivering exceptional client service.

Key Responsibilities:

  • Oversee and manage all office operations, ensuring a well-organized, productive work environment.
  • Coordinate meetings, schedules, and appointments for senior staff and clients.
  • Maintain office supplies, inventory, and equipment, ensuring optimal functionality.
  • Act as the main point of contact for internal and external communication, including vendors and service providers.
  •  Assist with basic bookkeeping, invoicing, and financial reporting.
  • Support the HR team with administrative duties related to employee onboarding and training.
  • Ensure compliance with company policies and contribute to process improvements
  • Proven experience in office management, administration, or coordination (financial services experience is a plus).
  • Strong organizational skills with a keen attention to detail.
  • Excellent written and verbal communication skills.
  • Proficiency in office management software and Microsoft Office Suite (experience with Trello and Calendly is a plus)
  • Ability to multitask and work independently in a fast-paced environment.
  • Previous experience in financial planning or related field is preferred but not required.

  • Full-time, 40-hour workweek, Monday through Friday.
