Our confidential client is seeking a dedicated Executive Administrative Assistant to join their growing financial planning firm. This role is vital to ensure smooth day-to-day operations, supporting our team, and delivering exceptional client service.
Key Responsibilities:
- Oversee and manage all office operations, ensuring a well-organized, productive work environment.
- Coordinate meetings, schedules, and appointments for senior staff and clients.
- Maintain office supplies, inventory, and equipment, ensuring optimal functionality.
- Act as the main point of contact for internal and external communication, including vendors and service providers.
- Assist with basic bookkeeping, invoicing, and financial reporting.
- Support the HR team with administrative duties related to employee onboarding and training.
- Ensure compliance with company policies and contribute to process improvements
- Proven experience in office management, administration, or coordination (financial services experience is a plus).
- Strong organizational skills with a keen attention to detail.
- Excellent written and verbal communication skills.
- Proficiency in office management software and Microsoft Office Suite (experience with Trello and Calendly is a plus)
- Ability to multitask and work independently in a fast-paced environment.
- Previous experience in financial planning or related field is preferred but not required.

- Full-time, 40-hour workweek, Monday through Friday.
